In some cases, we may collect information from third parties, such as tenancy reference databases (e.g., TICA), your employer, previous landlords, or legal representatives. Anonymity and Pseudonymity: Where practical, you may interact with us anonymously or using a pseudonym.   • Property Owners/Sellers: We will share your first and last name (but not your contact details) with vendors to provide feedback after you inspect a property. We also share relevant details with landlords if you are applying for or renting a property.

  • Tradespeople and Contractors: To arrange repairs and maintenance at your property.

  • Legal Professionals: Solicitors, conveyancers, and financial institutions involved in your transaction.

  • Government & Regulatory Bodies: The NSW Civil and Administrative Tribunal (NCAT), NSW Fair Trading, or the Rental Bond Board as required by law.

  • Tenancy Databases: Such as TICA or the National Tenancy Database, to check your rental history or list defaults (in accordance with the Residential Tenancies Act 2010 (NSW)).

  • Service Providers & Overseas Transfers: Software providers (CRMs), cloud storage, marketing agencies, and IT support who help us run our business securely. Please note: Your information may be accessed by our secure offshore support team (Virtual Assistants) or hosted on third-party servers located outside of Australia. We take reasonable steps to ensure these overseas recipients comply with strict Australian privacy standards.

7. Direct Marketing

We like to keep our clients informed about the local market. We may use your contact details to send you property alerts, market updates, or newsletters. If you no longer wish to receive these, simply let us know by clicking the "unsubscribe" link in our emails or contacting our office, and we will remove you from our marketing lists immediately.

 

8. Storing and Securing Your Information

We take your data security seriously. Your personal information is stored securely in our digital real estate CRMs and encrypted databases. We take reasonable physical, technical, and administrative steps to protect your data from misuse, interference, loss, unauthorised access, or disclosure. Once your information is no longer legally required to be kept, it is securely destroyed or de-identified.
